Postion Overview

MicaSense is seeking an enthusiastic candidate to join the team as a Full-Time Ops and Logistics Coordinator. This role will be responsible for organizing the day to day operations and logistics of our principal office including facilitating the processing of incoming and outgoing orders/shipments, and coordinating with the sales and support teams to meet the priorities and timing of deliveries outbound and return of materials (RMA’s) inbound. Additionally, this role will provide support to the Finance Manager and Managing Director for finance/billing and general operations of the business. This position will be ideal for someone who enjoys multi-tasking, cross-functional experience, and is interested in being part of a fast-growing tech company.


  • Manage office organizational systems and processes; implementing new and improved systems and processes as needs are identified

  • Maintain Sales Reports and Charts for dissemination to staff

  • Support management of Salesforce customer database

  • Maintain the filing system, including packing lists, invoices, correspondence

  • Organize and prepare shipping documentation and packages for deliverables on a daily/weekly basis

  • Manage incoming and outgoing shipments and receivables in coordination with Support team

  • Help with monthly product inventory processing

  • Assist accounting team with light bookkeeping including entering AR & AP

  • Office purchasing, including generating and maintaining a standard office supply checklist of items that should be in stock at all times. Order against said list so that there are no stock-outs and maintain the physical organization of the supplies.

  • Act as the primary point of contact for suppliers and vendors, shipping companies, and building management.

  • Work closely with Human Resources to assist in the successful onboarding of new employees by orienting new employees to the physical office and various administrative processes and ensuring each new employee has the tools they require to be successful.

  • On a daily basis, receive and distribute physical mail for the team as well as coordinate various ingoing and outgoing packages.

  • Ensure that all visitors to the office are greeted and supported as appropriate.

  • Drive office culture through event planning for team socials and coordinate stocking of snacks & drinks for employees

  • Assist with travel and meeting coordination

  • Other duties as assigned


  • 1-2 years of office administration, operations and/or logistics coordination experience or similar, ideally in start-up or high-tech environment

  • Highly proficient in Microsoft Office, Salesforce (or similar CRM tool) and comfortable with standard office IT tasks (new email account setup, online calendars etc.) and general technology aptitude

  • Excellent written and verbal communication skills

  • Demonstrates a high degree of personal and professional integrity

  • Ability to work effectively cross-functionally in a team environment

  • Ability to see organizational patterns clearly and streamline processes

  • Highly detail-oriented    

  • Exceptional problem-solving skills

  • Self-starter; proactive and takes initiative, with the ability to work independently and quickly learn new skills.
